PTA Leadership - Elected Officers

President

The President is the presiding officer and official representative of the PTA. They oversee and coordinate the work of the executive board, chair board and association meetings, serve as an authorized check signer, and act as an ex-officio member of all committees (except the Nominating Committee). The President works with school leadership to ensure PTA activities align with school priorities and champions family engagement across the whole community.

How to help: Lead our PTA into a great year! Ideal for someone organized, collaborative, and passionate about our school community. Prior board experience helpful but not required.

The Executive Vice President is the President's primary aide, stepping in to perform the President's duties whenever needed. They work closely with the President to help lead the PTA toward its goals, attend meetings as requested, inform the board of new PTA resources and information, and help facilitate smooth transitions between incoming and outgoing officers.

How to help: A great role for someone who wants to be deeply involved in PTA leadership and is ready to step up when needed. Works together with the President.

Executive Vice President

Secretary

The Secretary takes accurate, permanent minutes at all board and association meetings, co-signs documents with the President, handles PTA correspondence as directed, and maintains and preserves PTA records. Minutes are the legal, permanent record of the PTA as a nonprofit organization. The Secretary also sends notices of board meetings and notifies officers of their election or appointment.

How to help: Perfect for someone detail-oriented who enjoys attending meetings and keeping things organized. Great writing and note-taking skills are a plus!

Treasurer

The Treasurer is the authorized custodian of PTA funds. They maintain permanent financial records, pay all PTA bills as authorized, prepare financial reports for every board and association meeting, chair the budget committee, and ensure all required tax filings and government reports are completed on time. The Treasurer works closely with the President and Secretary to manage funds responsibly on behalf of the membership.

How to help: Ideal for someone with bookkeeping, accounting, or finance experience. You don't need to be a CPA — just organized, trustworthy, and comfortable with numbers.

Auditor (Financial Reviewer)

The Financial Reviewer (Auditor) independently reviews the PTA's books and financial records to verify their accuracy and confirm that funds are handled in accordance with PTA policies. They present written financial review reports to the board and association, and make recommendations on best practices. A financial review is conducted at least once a year and whenever a financial officer is replaced.

How to help: A great role for someone with a finance, accounting, or audit background who wants to contribute behind the scenes. This role ensures our PTA's financial integrity.

The Historian captures, assembles, and preserves a record of PTA activities and achievements throughout the year. They collect volunteer hours at all PTA meetings and events, submit a Historian Report to the council and district PTA, and present a brief overview of the PTA year at a meeting near the end of the school year. The Historian helps showcase the enormous community investment our volunteers make.

How to help: An ideal role for someone detail-oriented who attends PTA meetings and events regularly. Photography skills and a love of storytelling are a bonus!

Historian

Parliamentarian

The Parliamentarian is the PTA's expert on meeting procedure and bylaws. They advise the President on parliamentary procedure during board and association meetings, chair the bylaws committee to review the unit's bylaws each year, and mentor the nominating committee on election procedures. The Parliamentarian helps ensure every meeting is run fairly, efficiently, and in accordance with Robert's Rules of Order — so every voice has an equal chance to be heard.

How to help: A great fit for someone who enjoys structure, fairness, and the nuts and bolts of how organizations run. No prior experience required — the CAPTA Toolkit and district trainings provide excellent guidance.
